Why do some community members always seem ready to serve in leadership positions? How can they manage to keep track of all the important information like membership lists and schedules? Here's one of their secrets--they keep all their materials for each organization in separate briefcases or bags. Papers and other materials related to the organization are kept together in one tote bag or briefcase.
Since I am an active member of Toastmasters International, I'll use that as an example. Everything that might be needed for a Toastmaster meeting goes in one bag. Weekly meetings roll around quickly and no time is wasted trying to find needed manuals or schedules if it is already in the bag. Material for routine parts of the meeting and reference items are helpful when sharing information with others or filling an unexpected role at a meeting.

Here are some ideas on things to include in your Leadership Bag:
- Organization Materials. Include membership lists, agendas and important documents such as bylaws. Doesn't someone always have a question about mission or bylaws?
- Role Rescue Folder. Many civic organizations have agenda items that include opportunities for learning about the group or club members. Perhaps a joke is part of the meeting agenda. As you read or hear appropriate information or funny stories, include a copy in the Role Rescue Folder. With a minute's preparation, you'll have just the information to substitute for an unexpected absence of a fellow club member. Inspirational or motivational items are often used in club meetings. Add items that might benefit other club members.
- Paper and Pen. Have enough to share with others.
- Membership Materials. Many civic groups and volunteer organizations are challenged to find new members. If you have copies of the organization's magazine or newsletter in your Leadership Bag, it is easier to explain the group's purpose. With blank membership forms and other promotional material, you can close the sale while the prospect is highly interested in the group. New leadership is fostered!
- Name Badge. Wearing your name badge at various functions helps others to communicate with you. A business name badge may be worn if appropriate for the group.
Successful leaders are organized and prepared. A well-stocked Leadership Bag will provide what you and others need for quality meetings. Remember to use a separate bag or briefcase for each organization. Periodically review the contents and remove outdated materials.
